You don't have to manage your studio alone. Invite employees to help with bookings, cleaning, client service, and damage reporting - each with appropriate permissions.
Invitation process
- Go to Owner Panel -> Team
- Click Invite Member
- Provide:
- Email address - the person must have a Booquela account (a regular client account is enough, registration is free)
- Role - manager, reception, technician, or cleaning. Each role has a different access scope (more about roles in the team roles article)
- Room access (optional) - restrict to selected rooms if the person doesn't need access to all. More in the room restriction article.
- Send the invitation
The invitee will receive an email with a link to the acceptance page. After clicking the link, they'll see the invitation details - which studio, with which role - and can accept or decline.
Important details
- The invitation expires after 7 days - if the person doesn't respond in time, send a new invitation
- You can cancel a pending invitation at any time from the invitations list
- The invitee doesn't need to be a studio owner on the platform - a regular client who books rooms at other studios can also be a member of your team
- One person can be a team member in multiple studios at the same time - e.g., a photographer who's a technician at two different studios
Invitation statuses
- Pending - sent, waiting for the invitee's response
- Accepted - the person joined the team and has panel access
- Declined - the person refused to join
- Expired - 7 days passed without a response
- Revoked - you cancelled the invitation before the invitee responded
Before sending an invitation, make sure the person has a Booquela account. If not, ask them to register on the platform website (it's free and takes a minute), then send the invitation to the same email address.
What if the invitation expired?
Just send a new one. An expired invitation doesn't block you from re-inviting the same person. A new invitation starts a fresh 7-day acceptance period.
How many people can I invite?
There's no limit. You can have as many team members with each role as you need.
