How to prevent damages during a visit

Practical habits that protect against damages and claims.

Most studio incidents are accidents that can be avoided. A few simple habits are enough to make your visit go smoothly - and save you from worrying about a damage report.

Before the visit - preparation

Read the studio rules

Each studio has its own rules for using the space and equipment. Some require a technician present when operating lights, others prohibit bringing your own food. Check the rules on the studio page before your visit.

Check the room condition on arrival

This is your most important safeguard. Right after entering the room:

  1. Look around and note the condition of equipment and furnishings
  2. Take a few photos with your phone - backdrops, floor, lights, workstations
  3. If you notice existing damage (scratch on the floor, damaged backdrop, loose stand), report it immediately to the studio through the messaging system

Photos from the start of your visit are your best evidence in case of any dispute.

Ask for a walkthrough

If you have never used specific equipment (e.g., Bowens lighting system, motorized backdrop rail), ask for a brief walkthrough. Most studios offer this introduction - do not hesitate to ask.

During the visit - common sense

  • Use equipment as intended - do not try to disassemble lights or change power settings on generators if you lack experience
  • Do not move heavy equipment alone - a studio light with its generator can weigh up to 15 kg. Ask for help or contact the studio
  • Watch out for cables - secure them so nobody trips. A knocked-over stand with a light is one of the most common incidents
  • Keep food and drinks away from gear - coffee on a white paper backdrop is a recipe for disaster. Keep beverages at the table, not at the shooting station
  • Watch your guests - if you brought a model, makeup artist, or assistant, make sure everyone knows the studio rules

After the visit - tidying up

  • Leave the room as you found it - return equipment to its place
  • If something broke or was damaged during your visit - inform the studio right away, before you leave. Being proactive is always better received than explaining afterwards

Most damage reports involve knocked-over stands and soiled paper backdrops. These two types of incidents are easy to eliminate - stabilize stands with sandbags and keep drinks away from the shooting station.
