How to regenerate an iCal link

When and how to regenerate an iCal link to protect calendar access.

The iCal link gives access to your room's calendar. If you suspect it has fallen into the wrong hands, you can generate a new one - the old one will stop working immediately.

When to regenerate the link

  • Someone unauthorized may have gained access to the link (e.g., accidental sharing)
  • A team member left and had access to the link
  • You want to periodically rotate links for security (e.g., quarterly)

How to do it

  1. Go to Owner Panel -> Calendar -> iCal.
  2. Click Regenerate Link next to the feed.
  3. Confirm the operation.
  4. The system will generate a new link with a new token.

What happens to the old link

The old link stops working immediately. This means:

  • External calendars (Google, Apple, Outlook) that used the old link will stop syncing
  • You need to update the link everywhere you pasted it

If your team uses the link in their calendars, inform them about the change and share the new link.

Can I undo the regeneration?

No. Regeneration is irreversible - after generating a new token, the previous one cannot be restored. So before regenerating, make sure you really need to.

Does regeneration affect bookings?

No. Regeneration only changes the link for viewing the calendar. Bookings, blocks, and buffers remain unchanged. Clients can still book normally.

How to check who has the link?

Booquela doesn't track who downloaded the link - it's simply a URL. If you're not sure who has access, the easiest approach is to regenerate the link and send the new one only to those who should have it.

How often should I regenerate?

There's no obligation to regenerate regularly. Only do it when you have a reason - team changes, suspected leak, or as part of a security routine (e.g., once a quarter). If the link is known only to you and trusted people, you don't need to rotate it.

After regenerating, immediately copy the new link and update it in all external calendars. Until then, synchronization will be paused.
