How to configure buffers for a room

How to set buffer times and how many minutes to choose for different room types.

Setting up buffers takes literally a minute and saves a lot of stress in daily work.

Step by step

  1. Go to Owner Panel -> Calendar -> Settings.
  2. Select the room you want to set buffers for.
  3. Set the time:
    • Post-session buffer - e.g., 30 minutes for cleaning
    • Pre-session buffer - e.g., 15 minutes for preparation (optional)
  4. Save settings.

From this point on, the system will automatically add a buffer to every new booking.

How many minutes to set?

It depends on the room type and how much preparation work is needed:

  • Photography studio - 15-30 minutes. Enough to reset backdrops, pack lighting equipment, and do a quick cleanup.
  • Film studio - 30-60 minutes. More equipment to rearrange, longer preparation.
  • Recording / podcast room - 15 minutes. Usually enough to swap headphones and sanitize microphones.
  • Large fully-equipped studio - 30-45 minutes. More equipment means a longer buffer.

What happens with existing bookings?

Buffer changes only affect new bookings. If someone booked the room before you changed the settings, their booking stays unchanged. However, buffers are recalculated after a booking is cancelled - if a client cancels, the unnecessary buffer disappears.

Can I have different buffers for different rooms?

Yes. Each room has its own buffer settings. If you have a small podcast room that needs 10-minute breaks and a large film studio requiring 45 minutes - you set them separately for each room.

Can I disable buffers?

Yes - set the buffer to 0 minutes. Sessions will then be back-to-back with no break. This may make sense for rooms that don't require preparation between clients (e.g., a conference room without equipment).

Start with shorter buffers and increase them if your team can't keep up with preparation. It's better to start conservatively and maintain full occupancy than to set overly long buffers and lose potential bookings.
