Completing a visit

How sessions end automatically, when to close manually, and what happens next.

After a visit ends, you don't need to remember to close it - Booquela will do it for you. But if you want to close a visit early, you can do that too.

How sessions end automatically

A client booked the room from 10:00 AM to 1:00 PM. At 1:00 PM, the system changes the status to completed on its own. You don't need to click any button - it happens in the background.

Manual completion (if you need it)

Sometimes a client finishes early - say, they booked until 3:00 PM but finished at 2:00 PM. If you want to close the visit right away:

  1. Go to the booking details.
  2. Click Mark as completed.
  3. Confirm.

Manual completion doesn't change the room rental - the client pays for the booked hours regardless of when they actually finish.

What happens after a visit ends

Right after your visit closes, Booquela automatically does several things:

  • Checklist - if you have a post-session task list template prepared (e.g., check equipment, clean the room), it will appear right away. You don't need to create it manually - just configure the template once.
  • Thank you to the client - the system sends the client a thank-you message for visiting.
  • Review request - after 24 hours, the client receives an email asking for feedback.
  • Settlement - the transfer of funds to your Stripe account is initiated.

When to close manually vs. wait

In most cases, just let the system close the visit automatically. Manual completion is useful when:

  • The client finished early and you want to immediately start the post-session checklist
  • You need to free up the room sooner (the buffer will start counting from the completion time)

Can I undo completion?

No. After a visit is completed, the status cannot be changed back. If you completed it by mistake while the client is still in the studio - it doesn't affect the visit itself, but the post-session checklist may have already appeared.

Don't close sessions manually just because the client is leaving. The system will complete it after the booked hours. Manual completion only makes sense when you need to start the checklist sooner or free up the room faster.
