You don't need to manually track every booking - Booquela automatically changes statuses and sends notifications at the right moments.
What happens automatically
Unpaid booking expiration
A client submitted a booking but didn't pay? After 30 minutes, the system automatically changes the status to expired. The hours return to the pool and another client can book them. You don't need to do anything.
Session completion
After the last booked hour passes, the system marks the booking as completed. If a client booked 10:00 AM-1:00 PM, the visit closes on its own at 1:00 PM.
Client reminders
The system sends clients reminders about upcoming sessions:
- 24 hours before - email with date, time, and address
- 2 hours before - SMS (if you have SMS notifications enabled)
You can configure reminder channels in Owner Panel -> Communication Settings.
Post-session messages
After a visit ends, Booquela automatically:
- Sends the client a thank you for visiting
- After 24 hours, sends a review request with a link to the feedback form
What the system does NOT do automatically
These things require your action:
- Check-in - you must manually confirm the client's arrival
- Marking no-show - the no-show decision is always on your side
- Cancellation - the system doesn't cancel confirmed bookings on its own
- Approval - in "request-to-book" mode, you make the decision
What if the automation doesn't work?
Under normal circumstances, automatic changes work reliably. If you notice a status didn't change automatically (e.g., a visit should be completed but is still "confirmed"), contact support.
Can I disable automatic changes?
No. Automatic expiration and completion are system features that always run. They ensure data consistency and protection against forgotten bookings. SMS and email reminders, however, can be configured in communication settings.
Automatic reminders significantly reduce no-shows. If you haven't enabled them yet, go to communication settings.
