How to create a checklist template

Step by step: creating a checklist template for your studio team.

Creating a template takes a few minutes, and then it works automatically with every new booking. Once configured, a template saves time for years.

Step by step

Anna runs a photography studio with two rooms. She wants someone on the team to check the lighting and prepare the room before each visit. Here's how to set it up:

  1. Go to Owner Panel -> Checklist Templates
  2. Click Add Template
  3. Enter a name - e.g., "Room preparation before session"
  4. Choose the type - in this case Before session
  5. Decide whether the template applies to specific rooms or the entire studio
  6. Add checklist items - each task your team needs to complete:
    • "Check studio lighting"
    • "Prepare backdrops according to booking"
    • "Make sure air conditioning is working"
    • "Check floor cleanliness"
  7. Arrange items in the order tasks are naturally performed
  8. Save the template

From now on, every new booking in the assigned rooms will automatically get this checklist. You don't need to remember anything - the platform handles it for you.

Editing an existing template

You can change the template name, add new items, or reorder them at any time. Important: changes only affect checklists created from that point on. Checklists already generated for current bookings remain unchanged, so you don't need to worry about edits breaking anything for ongoing sessions.

Deactivation instead of deletion

If you temporarily don't need a template (e.g., you're closing a room for renovation), deactivate it rather than deleting it. A deactivated template won't generate new checklists, but the full execution history remains available for review. When you need it again - simply reactivate it.

Each template type (e.g., "Before session") can only be assigned to a given room once. If you need a different set of tasks for the same type, edit the existing template instead of trying to create a new one.

What if I get the item order wrong?

You can change item order at any time. Edit the template and drag items to new positions. The change won't affect checklists that have already been generated - it only applies to future ones.

Can I copy a template between rooms?

There's no dedicated copy function, but creating a new template is quick. You can also create a studio-wide template - then it works across all rooms simultaneously.
