How to block time in the calendar

How to create one-time and recurring blocks to manage room availability.

Need to reserve a room for yourself, schedule maintenance, or just have a free afternoon? Time blocks let you mark hours as unavailable - clients won't be able to book them.

Creating a one-time block

Let's say you're planning your own photo shoot on Wednesday from 2:00 PM to 5:00 PM.

  1. Open the Calendar and click an empty slot on Wednesday at 2:00 PM (or use the Add Block button).
  2. Fill in the form:
    • Room - select the room you want to block
    • Date - Wednesday
    • Hours - from 2:00 PM to 5:00 PM
    • Reason (optional) - e.g., "own photo shoot"
  3. Save. The block will appear in the calendar as a red block.

Recurring blocks

If you do equipment checks every Monday morning, you don't need to create a block manually each week. Set up a recurring rule:

  1. In the calendar settings, go to the Recurring Rules section.
  2. Set the day (Monday), hours (e.g., 8:00 AM-10:00 AM), and room.
  3. Save. The system will automatically block those hours every week.

Recurring rules are ideal for regular blocks: morning cleaning, weekly equipment maintenance, reservations for your own training sessions.

Deleting a block

Click the block in the calendar and select Delete. The hours immediately become available to clients. You delete recurring rules from the calendar settings - removing a rule doesn't delete already-created blocks, it just stops creating new ones.

Does a block affect existing bookings?

No. A block prevents new bookings from being created for that time slot but doesn't cancel ones that were already made. If you need to free up a slot that has an existing booking, cancel the booking first, then create the block.

Who can create blocks?

Blocks can be created by owners, managers, and reception staff. Technicians and cleaning staff can see blocks in the calendar but cannot add or remove them.

Blocks and bookings cannot overlap. If you try to block hours that already have a booking, the system will let you know.
