If you need to return money to a client for a booking, you can do it directly from the Booquela panel - either a full refund for the entire amount or a partial one.
When this is useful
Kasia runs a recording studio. A client booked 3 hours, but the lighting stopped working after the first hour. Kasia decides on a partial refund for the 2 hours when the client could not work normally.
Full refund
- Go to Owner Panel > Bookings.
- Find the booking and click Details.
- Click Issue Refund and select Full Refund.
- Enter the refund reason (the client will see it in the email notification).
- Confirm the operation.
Partial refund
Steps 1-2 as above, then:
- Click Issue Refund and select Partial Refund.
- Enter the amount to refund (e.g., 150 PLN out of 300 PLN).
- Enter the refund reason.
- Confirm the operation.
You can issue multiple partial refunds for the same booking, but the total cannot exceed the original payment.
How long the client waits for a refund
This depends on the payment method:
- Credit/debit card - 5-10 business days
- BLIK - 1-3 business days
- Przelewy24 - 3-5 business days
What happens with the commission
With a refund, Booquela's commission is automatically adjusted:
- Full refund - the entire commission (net and VAT) is returned
- Partial refund - the commission is reduced proportionally
If a commission invoice exists for the original payment, a correction invoice is also generated.
What if...
- I want to reverse the refund? Unfortunately, a refund cannot be reversed once confirmed. Make sure the amount is correct before confirming.
- A long time has passed since the booking? Refunds are possible up to 90 days from the payment date.
- The client does not see the money? Ask them to contact their bank - processing time depends on their bank.
A refund does not automatically cancel the booking. If you also want to cancel the booking, do it separately in the booking details.
