Every completed checklist leaves a trail - you know exactly who did what and when. This is useful both for daily management and for resolving any disputes with clients.
What does the platform record?
For each checklist, the following is recorded:
- Who checked each item - name and role of the team member
- When they did it - date and time down to the minute
- How long it took - time from checklist generation to the last item being checked
- Notes added by the person filling it in (e.g., "Lamp #2 is flickering - reported for repair")
Everything is saved automatically. The team member doesn't need to enter anything beyond checking the checkboxes and optional notes.
Where to view history?
History is available in two ways:
- In the booking - open the Checklists tab for a specific booking. You'll see all checklists (current and completed) with full details - who completed each item and when.
- In the audit log - Owner Panel -> Audit Log shows all studio actions chronologically, including checklist creation, item completion, and status changes. This is useful when you want to see the bigger picture - what happened in the studio on a given day.
Practical uses
Checklist history helps answer important questions from daily studio operations:
- "Was the room prepared before the 2:00 PM session?" - check the "Before session" list for that booking and see when it was completed
- "Who was responsible for cleaning on Friday evening?" - filter logs by date and checklist type
- "Is the new team member keeping up with duties?" - compare checklist completion times between people
- "The client claims the room was dirty - what does the checklist say?" - you have documentation with date, time, and the responsible person
That last situation is particularly important. When a client files a complaint about the room's condition, you have black-and-white proof that the room was checked (or wasn't) and by whom.
If you notice a specific checklist item is regularly skipped or completed with significant delay, talk to your team. The task might be unclear, too time-consuming, or worth rewording.
How long is data kept?
Checklist history is stored indefinitely. You don't need to worry about data loss - even checklists from many months ago are available with full details. This is especially important for longer disputes or analyzing trends in service quality.
